How To: Use the Virtual Terminal in Gravity Dashboard
Accessing the Virtual Terminal
To access the Virtual Terminal, navigate to the Virtual Terminal option in the left control panel of the Gravity Dashboard.
Once selected, the Virtual Terminal allows users to process the following transaction types:
- Sale
- Authorization (Auth)
- Capture/Force
- Void/Refund
Processing a Sale
- Select Sale from the transaction type menu.
- Enter the amount due, card details, and billing information.
- If your account is configured for surcharging, a notification window will appear, prompting you to inform the customer of the surcharge if they are using a credit card.
- Confirm and Process the transaction.
Running an Authorization-Only Transaction
- Select Auth from the transaction type menu.
- Enter the amount due, card details, and billing information.
- If surcharging is enabled, a notification window will appear, instructing you to inform the customer of the surcharge for credit card payments.
- Confirm and Process the transaction.
Note: Best practice is to capture the Authorization within 48 hours. Attempting to capture authorizations beyond this timeframe may result in issues such as increased processing fees, transaction declines, increased risk of chargebacks, or other processing errors.
Capturing/Forcing an Authorization
- Select Capture/Force from the transaction type menu.
- A list of previously authorized transactions will be displayed.
- Locate the transaction to be captured.
Click Capture next to the selected transaction.
Voiding or Refunding a Transaction

- Select Void/Refund from the transaction type menu.
- A list of transactions will be displayed. You can:
- Search for a specific transaction.
- Adjust the date range to filter transactions.
- Manually key in a return, if applicable.
- Locate the transaction to be voided or refunded.
- Select either:
- Void: Can only be performed within the first 20 minutes of the transaction.
- If you attempt a void after 20 minutes, the system will automatically process it as a refund
Refund: Can be processed either on the same day as the transaction or at a later date.
